Generating letters is integral to any housing management software. In the case of Yuneo we were moving from an on premise solution to the cloud which mean’t users were no longer able to customise and generate letters via desktop word processors such as Microsoft Word. We needed to create a solution that enabled our customers to continue using their existing letter templates whilst being able to adjust the content of the letter and then make it available in the cloud to print or send to tenants via email.
This transition provided us with opportunities to improve the user experience. With the current solution, users frequently had to create letters locally and then forward them to other users to action. With the cloud solution, we were able to generate the letters and then make them available to all relevant users from a single location within the product.

To kick-off the research for this feature, I invited a number of existing customers to join a workshop where we discussed the problems with the solution in the current version of the product. We then ran through all of the problems the participants had come up with and we organised these into a priority order. Once we had a set of prioritise problems, I asked participants to suggest solutions to these. Finally, everyone voted on their favourite solutions. These formed the focus for creating a prototype to test with users.
